Customising your charts

Change the chart

  1. From the ‘Customise Layout’ tab, hover your mouse over the relevant page and select the ‘customise’ button.
  2. Find the chart you wish to change and click the ‘Change Chart’ button to bring up the chart selection box. Once you have selected a chart, click ‘Save’ to confirm the change.

If you can’t find the chart you’re looking for, you can create your own with our formula builder.

Change the chart settings

  1. From the ‘Customise Layout’ tab, hover your mouse over the relevant page and select the ‘customise’ button.
  2. Find the chart you wish to customise and click ‘customise this chart’ - you’ll now have 3 tabs to work through.

Change chart name and subtitle

  1. From the ‘Customise Layout’ tab, hover your mouse over the relevant page and select the ‘customise’ button.
  2. Find the chart you wish to customise and click ‘customise this chart’.
  3. From the ‘chart’ tab open the ‘title’ dropdown to make changes.
  4. Click ‘update’ to save your changes.

Change X Axis / date range

  1. From the ‘Customise Layout’ tab, hover your mouse over the relevant page and select the ‘customise’ button.
  2. Find the chart you wish to customise and click ‘customise this chart’.
  3. From the ‘chart’ tab open the ‘X Axis’ drop-down.
  4. Select the dropdowns to change date range.
  5. Click ‘update’ to save your changes.

Leaving the date range as ‘auto’ prompts the software to show values from start to end of financial year end.

Change Y Axis / unit

  1. From the ‘Customise Layout’ tab, hover your mouse over the relevant page and select the ‘customise’ button.
  2. Find the chart you wish to customise and click ‘customise this chart’.
  3. From the ‘chart’ tab open the ‘Y Axis’ drop-down.
  4. You can change the unit by overwriting the text box.
  5. To change the values you will need to change both the Min and Max value. Changing only one won’t work.
  6. Click ‘update’ to save your changes.

The scale of the Y-axis is automatically adjusted to scale based on the min and max values. You aren’t able to manually adjust this.

Provide chart narration

  1. From the ‘Customise Layout’ tab, hover your mouse over the relevant page and select the ‘customise’ button.
  2. Find the chart you wish to customise and click ‘customise this chart’.
  3. From the ‘chart’ tab open the ‘Narration’ dropdown. You’re now able to enter any text you’d like - feel free to copy our graph explanations here.
  4. Click ‘update’ to save your changes.

Change which data is displayed

Filter the data

You can filter a report in two circumstances:

  • By Xero tracking codes
  • Or when running a Group Report you can filter by each organisation to show the data separately rather than showing the consolidated amounts only.

  • From the ‘Customise Layout’ tab, hover your mouse over the relevant page and select the ‘customise’ button.

  • Find the chart you wish to customise and click ‘customise this chart’.
  • From the ‘filter’ tab open the tracking (or organisation) dropdown.
  • Select which series you want represented on the graph.
  • Click ‘update’ to save your changes.

If you’d like to change the series of data shown, you’ll need to create a custom graph and use our formula builder.

Change how data is displayed

Add or remove series of data from displaying on chart

  1. From the ‘Customise Layout’ tab, hover your mouse over the relevant page and select the ‘customise’ button.
  2. Find the chart you wish to customise and click ‘customise this chart’.
  3. From the ‘series’ tab open the relevant drop-down.
  4. If the ‘show’ checkbox is selected this series will be displayed on the graph.
  5. Either select or deselect and click ‘update’ to save your changes.

If you’d like to change the series of data shown, you’ll need to create a custom graph and use our formula builder.

Rescale chart / remove months with zero balance

Spotlight can automatically scale the graph or exclude any months with a zero balance from the graph for you.

  1. From the ‘Customise Layout’ tab, hover your mouse over the relevant page and select the ‘customise’ button.
  2. Select the ‘adjust to best fit’ checkbox

Change type of graph

  1. From the ‘Customise Layout’ tab, hover your mouse over the relevant page and select the ‘customise’ button.
  2. Find the chart you wish to customise and click ‘customise this chart’.
  3. From the ‘series’ tab open the relevant drop-down.
  4. Select the ‘type’ dropdown and choose the graph you’d like to use (Area, Bar, Curve, Line, Scatter or Horz Bar)
  5. Click ‘update’ to save your changes

Change colours of graph

  1. From the ‘Customise Layout’ tab, hover your mouse over the relevant page and select the ‘customise’ button.
  2. Find the chart you wish to customise and click ‘customise this chart’.
  3. From the ‘series’ tab open the relevant drop-down.
  4. Click on the ‘colour’ block and scroll through the different colours available.
  5. Click ‘update’ to save your changes

Change title of data set

  1. From the ‘Customise Layout’ tab, hover your mouse over the relevant page and select the ‘customise’ button.
  2. Find the chart you wish to customise and click ‘customise this chart’.
  3. From the ‘series’ tab open the relevant drop-down.
  4. Select the ‘title’ checkbox and enter your customised title.
  5. Click ‘update’ to save your changes

Add or remove projection line

  1. From the ‘Customise Layout’ tab, hover your mouse over the relevant page and select the ‘customise’ button.
  2. Find the chart you wish to customise and click ‘customise this chart’.
  3. From the ‘series’ tab open the relevant drop-down.
  4. If the ‘projection’ checkbox is selected, the budget for future months will be displayed. Either select or deselect and click ‘update’ to save your changes.

If the projection line doesn’t show - please ensure you have imported or manually entered budget figures in your Customise Data tab.

Add or remove trend line

  1. From the ‘Customise Layout’ tab, hover your mouse over the relevant page and select the ‘customise’ button.
  2. Find the chart you wish to customise and click ‘customise this chart’.
  3. From the ‘series’ tab open the relevant drop-down.
  4. If the ‘trend’ checkbox is selected, a logarithmic trend line with be displayed. Either select or deselect and click ‘update’ to save your changes.

Stack or unstack data

Stacking data useful for showing the breakdown of a certain total e.g. Cash on Hand and Receivables to represent potential cash on hand balance.

  1. From the ‘Customise Layout’ tab, hover your mouse over the relevant page and select the ‘customise’ button.
  2. Find the chart you wish to customise and click ‘customise this chart’.
  3. From the ‘series’ tab open the relevant drop-down.
  4. If the ‘stacked’ checkbox is selected, the data will be stacked against other series that are stacked. Either select or deselect the stacked box and repeat this process for all series you wish to stack.
  5. Click ‘update’ to save your changes

Add or remove marker

Some graphs (Area, Curve, Line, Scatter) are complemented by a marker to easily identify the month end value. You have a selection of diamond, dot, point or star markers.

  1. From the ‘Customise Layout’ tab, hover your mouse over the relevant page and select the ‘customise’ button.
  2. Find the chart you wish to customise and click ‘customise this chart’.
  3. From the ‘series’ tab open the relevant drop-down.
  4. Select the ‘marker’ dropdown and choose the marker you’d like to use (diamond, dot, point, star). To remove the marker please select ‘none’.
  5. Click ‘update’ to save your changes

Not to worry if you make a mistake, you can always select the ‘reset’ button to start customising your chart from scratch again.
