You can use the artificial intelligence (AI) options in the Executive Summary or Text Panels to automatically generate commentary on your report, or reformat existing commentary.

To access the Executive Summary

Your executive summary automatically has the AI options, so you can access these in your normal page. To do this, open the Customise Layout tab, then locate the Executive Summary page and click Customise.

To use AI Suggestions in the Executive Summary

If you’d like AI to generate text from scratch for you, you can use the AI Suggestions button. This can produce suggestions for up to five topics and automatically insert them into your Executive Summary.

  1. Click the AI Suggestions button.
  1. Choose the required option - you can add to the main Highlights area of the Executive Summary, or alternatively add to the Recommendations panel.
  1. From the Select highlights or Select recommendations drop-down list, choose up to five sections for which you’d like to generate suggestions.
  2. From the Select comparator drop-down list, choose the value you’d like to compare as part of the suggestions. You can choose from the following options:

    • This Month vs This Month (Budget)
    • This Month v Last Month
    • This Month v This Month Last Year
    • This Month v Monthly Average
    • Quarter to Date v Quarter to Date (Budget)
    • Quarter to Date v Last Quarter to Date
    • Quarter to Date v Last Year Quarter to Date
    • Year to Date v Year to Date (Budget)
    • Year to Date v Last Year to Date
    • Year to Date v Full Year (Budget)
    • Projection v Full Year (Budget)
  1. To view the suggestions, click Generate Suggestions.
  1. You can then review the suggestions. To add a single suggestion to the Executive Summary, click the Add button, or to add all of them at once, click Add All. If you’d like to see other versions of the suggestions, click Regenerate.

Note: As AI can occasionally make mistakes, we do recommend that you check the generated text before completing your report.

The text is added to your Executive Summary and you can edit it further if needed.

To edit existing text with AI in the Executive Summary

If you’ve already included text into your Executive Summary, you can use the AI options to reformat this, making the text shorter, longer, or more professionally phrased. This includes both text that you’ve included yourself, and any tags and autotext that you’ve added.

  1. Locate the required section and then click Edit with AI.
  1. The Spotlight AI window appears and shows your existing text.
  2. You can then choose the format you prefer for your text:

    • Shorter - Summarises the text into a concise version while keeping the original information.
    • Longer - Creates additional commentary based on the original text. This version can include additional interpretations of the values and provide further insight.
    • More professional - Uses a more formal writing style for your text.
  1. Once the text is regenerated, you have several options:
    • Use this version - Insert the generated text into your report in its current format.
    • Redo - Regenerate the text using the same parameters.
    • More options - Regenerate the text using the Shorter, Longer, or More professional options.

You can create as many versions as you like, and compare the versions by scrolling between them on the Spotlight AI window.

Note: When you use the More options button, the change is applied to the last version of the text. For example, if you first select the Longer option and then choose More options > More professional, the text generated will be a more professional version of the longer text, not of the original text.
  1. Once you've chosen the option you want, click Use this version.

To edit existing text with AI in a text panel

If you have text panels in your report, you can edit the existing text using AI.

  1. Click to customise your text panel and then click Spotlight AI.

The Spotlight AI window appears and shows your existing text.

Note: If the Spotlight AI button is not available, add text to your text panel. The Spotlight AI button will then be available.

  3. Once you’ve chosen the version you want, click Use this version.

Common questions

Can I use Tags and Auto Text in AI suggestions?

The AI Suggestions option doesn’t automatically use tags or auto text, however if you’ve included this in your Executive Summary already, you can use the Edit with AI option to reformat the text using AI.

Can I edit the generated text?

Yes - once the text has been inserted, you can click into the text box and make any changes you need.

Will the generated text automatically change for the next report?

The text generated by AI suggestions is based on the values at that time, and will not automatically update when the data is updated. However, if you added tags or auto-text, this will automatically update as normal.
