Entity Balance Sheet (Account Groupings)

The Entity Balance Sheet (Account Groupings) page provides more flexibility and customisation options for better readability and analysis of reports. You can group accounts together under a sub-heading, group low importance or low value accounts under a single line to streamline your report, and re-order the accounts in the way that makes sense to you.  You can also save the layouts quickly and re-use them on another page of the same type for the organisation.

To add the Entity Balance Sheet (Account Groupings) page


The page already appears in the default templates, but if it doesn’t appear in your report you can easily add it:

  1. Open the Customise Layout tab, then click Add Page.
  2. From the left-hand pane, click the Balance Sheet category.
  3. Select the Entity Balance Sheet (Account Groupings) option, then click Next.
  4. If required, enter a new name for the page.
  5. From the Insert After drop-down list, choose which page you want to insert the new page after.
  6. Click Add Page.

To amend the EntityBalance Sheet (Account Groupings) page

Add a new layout

  1. From the Customise Layout tab, locate the page, then click Customise.
  2. Within the Entity Balance Sheet page, click Show Settings.
  3. Click Create New Layout.
  4. Enter a name for your layout and choose the report type on which it should be based. You can choose from Standard format, UK format or US & Canada format.
  5. Click Create Layout.

You can now work on the layout settings as needed. For information about how to do this, please refer to the following sections.

Re-order accounts/groups

  1. Click to select the account(s) or group you want to re-order.
  2. Drag the selected option(s) and drop into the required position.

Note: You cannot use drag and drop to move accounts from one section (for example Assets) to a different section (for example Liabilities). Instead, you will need to consider changing the report code from the Customise Data tab.

Add a group

  1. Click to select the account(s) you want to group.
  2. Once you've selected the required accounts, click the Add Group button.
  3. Complete the window as follows:

  4. Group Name - Enter the name for the group. This will be used as the heading (for Detailed groups) or as the name for the whole group (for Summary).
  5. Display - Choose to display the accounts within the group as Detailed or Summary. Detailed shows a group with a heading, itemised accounts and an optional total, while Summary groups all accounts onto a single line.
  6. Sorting Type - Choose how you'd prefer to sort. If you prefer, you can leave this option set to Manual and click and drag the accounts into the order you want.
  7. Show Zero Values - Select this check box to show accounts with zero values on the page.
  8. Show Subtotal - Select this check box to include a subtotal for the accounts in the group.

Add a sub-group

Within your group, if you need to you can add another level of grouping. For example, you might want to group some items onto a single line as a 'Summary' sub group.

  1. Create your main group, then click to select the accounts you want to group within this.
  2. Click the New Group button.
  3. You can now complete the window as outlined in the section above.

Group options

Once you've added your group, you can adjust the formatting by using the icons in the group header.  There are several options available:

Group options

  • Eye: show/hide sections (only root/first level section)
  • Trash can: delete group
  • A-Z: sort alphabetically
  • 9-1: Sort numerically from highest to lowest
  • 0: Show/hide zero account
  • ∑: Show/hide subtotal

Note: To add more accounts into the group, click and drag accounts from the same section into the group. To remove accounts from the group, click and drag accounts out of the group.

Delete a saved layout

Note: Once you remove a layout, you cannot undo this.

  1. From the Customise Layout tab, click the Customise button for the Entity Balance Sheet page.
  2. Click Show Settings.
  3. Click the Delete button alongside the layout you want to delete.

Note: A layout cannot be deleted if it is the active layout in another Entity Balance Sheet page within your report.

Edit a saved layout

  1. From the Customise Layout tab, click the Customise button for the Entity Balance Sheet page.
  2. Click Show Settings.
  3. Click the Edit Layout button alongside the layout you want to edit.

Note: Edits made to a layout apply to all pages which use the saved layout.

 

Copy a layout

  1. From the Customise Layout tab, click the Customise button for the Balance Sheet Analysis page.
  2. Click Show Settings.
  3. Locate the layout you want, then click Make a Copy.
  4. Enter the name you want to use for the copy layout, then click Create copy.

The layout now appears on the list, and you can edit it as needed.

Column Options

There are a number of options available to customise the columns in your report. Once you've made any changes, to show these changes on the report, click Update.

Note: You can have a maximum of 12 columns per page. If you need to show more options, you can add multiple balance sheet pages to your report with the Add Page option.  You can then customise the new page to include the additional columns.
