YTD and Projected Profit & Loss layouts

With Spotlight, you can use the customisation options to amend the pages of the report to suit your needs. In the Profit and Loss Analysis page, this includes setting different comparison options.

Each profit and loss page can contain a maximum of 12 columns, however as you can add multiple copies of any of the standard pages, you can include several versions of the profit and loss page to ensure you show all of the information you need.

Year-to-date report options

When it comes time to prepare your annual reports, there are multiple year-to-date options available under the Customise Columns setting.

Tip: When it comes time to prepare your annual report, you can also use the monthly options to show a rolling 12 months or the full 12 months of the current financial year.

YTD Total

This column is one of the two available within the YTD column group. When you select the YTD Total option, one column is added to your report showing the total year-to-date value, up to your report period, for each account.

Percentage of revenue

This is the second column available in the YTD column group. When you select this option, one column is added to your report showing the percentage of revenue on a year-to-date basis.

Actual vs Budget with variances

The actual vs budget column group includes three columns:

  • Budget - This column shows year to date budget based on the total budget up to the current month within the fiscal year.  This value does not include any changes made to the budget after the original import.
  • Revenue % - This shows a percentage of revenue between the year-to-date actuals and budgets. This column is optional.
  • Variance - This shows a currency variance between the year-to-date actuals and budgets. This column is optional.
  • Variance % - This shows a percentage variance between the year-to-date actuals and budgets. This column is optional.

Actual vs Last year with variances

The actual vs last year column group includes three columns:

  • Last Year - The total actual value from the last financial year up to the same month as the current report date.
  • Revenue % - This shows a percentage of revenue between the current financial year and the same period from last year. This column is optional.
  • Variance - A percentage variance between the current financial year and the same period from last year. This column is optional.

Future projection column options

There are several projection options available under the Customise Columns setting.

Projection

This column group includes three columns which are all automatically included when you select this option:

  • YTD - This column shows the year-to-date actual values up to the current month in the fiscal year.
  • Budget - This column shows the total budget value of remaining months in the year. The budget value includes any changes made to the budget after the original import.
  • Total <year> - This column shows the total projection for the current financial year by calculating the total value of the first two columns.

Projection analysis with variances

This column includes four columns, two of which automatically appear when you select the option and two of which are optional:

  • <year> Proj - This column shows the total projection for the current financial year by calculating the total of the year-to-date actuals and remaining budget values for the rest of the months in the financial year. The budget value includes any changes made to the budget after the original import.
  • Orig. Budget - This column shows the original budget imported into Spotlight. This value does not include any changes made to the budget after the original import.
  • Variance - The currency variance between the first two columns. This column is optional.
  • Variance % - The percentage variance between the first two columns. This column is optional.

Projection vs last year with variances

This column group includes four columns, two of which automatically appear when you select the option and two of which are optional:

  • <year> Proj - This column shows the total projection for the current financial year by calculating the total of the year-to-date actuals and remaining budget values for the rest of the months in the financial year. The budget value includes any changes made to the budget after the original import.
  • Last Year - This collumn shows the actual values from last year, as of the end of the year.
  • Variance - The currency variance between the first two columns. This column is optional.
  • Variance % - The percentage variance between the first two columns. This column is optional.
